Guess Who’s Coming to Dinner?
You’ve invited a lot of your friends to dinner, it’s two days before the festivities, the caterer has been calling frantically needing to know how many people are coming to enjoy this special meal, and you really don’t know.  Your invitees were asked to let you know five days ago, and indeed a few of them have accepted.  But others haven’t replied, and still more have implied they’ll come but really haven’t committed, much less said that they’d like the transportation you’ve offered so that they don’t have to drive.  The transportation crew is also eager to learn how many cars and drivers they must provide.  The caterer has already ordered some of the more difficult to find food based on an initial estimate, and you’ll have to pay for it no matter how many or how few guests actually come to dinner.  What a dilemma! Yet this is the situation that your Museum faces when events involving food, transportation, and tour reservations are planned.  Those who provide these services ask us in advance for the information they need.  If too few people have accepted, the event may have to be called off because there is not sufficient participation expected to support it.  Then, after the deadline, people call who want to attend and are disappointed when told that it has been canceled.  Or people come to an event without reserving a place, and Museum staff wonder if there will be enough refreshments or program materials for all.

Please don’t keep us guessing about who’s coming to dinner – or to any other program where we’ve asked for advance reservations.  Do call by the deadline and let us know that you plan to attend.  We understand that winter weather is a concern, and people are reluctant to commit to an event two weeks ahead during snow season.  If the weather should become a problem, the event will be rescheduled.  To serve you better, most receptions and all Artful Dining programs are catered, and small vans will not be used for bus trips.  Continuation of Biggs Museum programs depends on sufficient participation.
